How to use the result
This tool is a structured planning aid, not a guarantee that a provider will meet every requirement. Save the assumptions, test the shortlist with a representative product and order, and verify current provider terms.
Costs included in the model
The calculation combines twelve months of platform and app charges, one-time setup, migration, and a modeled payment fee applied to expected sales. Use a blended fee only after checking the payment methods and transaction paths customers are likely to use.
Costs to add separately
Add internal labor, product photography, copywriting, inventory systems, tax advice, fulfillment, shipping supplies, chargebacks, returns, customer support, accessibility work, security, and ongoing development. Run a conservative, expected, and high-growth scenario. A lower subscription can still cost more when routine work requires manual steps or custom maintenance. Revisit the estimate whenever sales mix or staffing changes.
Build three comparable cases
Keep the platform requirements fixed while changing annual sales, order count, average order value, return rate, payment mix, and support hours. The conservative case should reveal how long fixed costs can be carried before demand is reliable. The expected case should use written renewal prices and realistic labor. The growth case should expose plan thresholds, app usage charges, additional locations, reporting needs, and fulfillment work that appear only after volume increases.
Interpret the number correctly
The result is a first-year operating estimate, not a revenue forecast or provider quote. Save every input with its source and date. Compare candidates using identical assumptions, then add a note for capabilities one platform includes and another requires as paid software or manual labor. Reconcile the estimate with actual invoices and payment reports each month after launch; unexplained variance is evidence that an omitted dependency or process cost needs to be added.
Retain the plan name, regular renewal price, payment schedule, app list, implementation scope, migration quote, labor assumption, sales case, and calculation date. Another person should be able to reproduce the total without access to your browser history.
Save the input values, result, calculation date, source links, and the name of the decision owner. Add the representative product, order, refund, export, or reconciliation record used to verify the outcome. A screenshot of the result alone is not sufficient because it does not show whether the assumptions match the live operating workflow.
