Document handling time separately from carrier transit time, define the order cutoff and business-day calendar, and account for products that ship from different locations. The FTC Mail, Internet, or Telephone Order Merchandise Rule requires a reasonable basis for the advertised shipping time; when no shipping time is stated, the seller needs a reasonable basis to ship within 30 days. Design the delay and cancellation path
Decide how the team detects a missed promise, who contacts the buyer, what revised date is supported, and how consent or a prompt refund is handled. Test an out-of-stock item after payment, an address correction, a split shipment, a carrier exception, and cancellation before fulfillment. Customer messages should identify the order, explain the available choice, and provide a working response path. Avoid automated assurances that no person monitors.
Publish a usable return policy
State the return window, eligible condition, exclusions, exchange process, return shipping responsibility, refund method, expected processing time, and contact route in plain language before checkout. Ensure product pages do not contradict the general policy. Test the return flow on mobile and verify that staff can locate the order, record the disposition, restore inventory correctly, and reconcile the refund. Keep policy versions and effective dates when terms change.
Measure fulfillment quality after launch
Track orders shipped within promise, first carrier scan, delivery exceptions, cancellations, return reasons, refund completion time, and support contacts per order. Review results by product and fulfillment location rather than only at store level. A rising delay rate should trigger a change to displayed estimates before it becomes a communication crisis. Reconcile carrier charges and shipping subsidies against the cost plan so a fast delivery promise does not silently erase contribution.
